Understanding KPI Reports KPI Dashboard with Average Costs and Fleet Uptime KPIs Common Questions Are Rental Days and Sub Days the same measure? Can I use one KPI to determine the cause of a performance issue?

Use the KPI report category to review historical fleet data and key maintenance performance measures in one place. The category includes an interactive dashboard for visual analysis and a spreadsheet report for detailed review, comparison, and export.

Understanding KPI Reports

KPI reports bring together fleet, maintenance, rental, roadside, uptime, and cost information so you can:

  • Review fleet count and average fleet age.
  • Monitor preventive maintenance performance through PM Currency.
  • Evaluate rental or substitute-unit days associated with fleet needs.
  • Track service call activity.
  • Review Fleet Uptime.
  • Compare average charges per vehicle.
  • Review repairs relative to fleet mileage.
  • Compare historical performance across the customer or fleet scope available in the report.
  • Move from summarized visuals to a detailed spreadsheet when additional analysis is needed.

KPI Dashboard with Average Costs and Fleet Uptime

The KPI Dashboard with Average Costs and Fleet Uptime provides a visual view of historical fleet data and key maintenance performance metrics. Use it when you want to assess overall fleet performance, compare measures across the selected reporting period, or identify an area that may require closer review. The dashboard includes fleet count, average fleet age, PM currency, rental days, service calls, fleet uptime, and average charges per vehicle. Review related KPIs together rather than treating one measure as a complete explanation. A change in cost, rental activity, or uptime may require additional record-level or operational context.

Use this dashboard when you need to:

  • Get a high-level view of fleet and maintenance performance.
  • Review historical changes in key fleet metrics.
  • Compare fleet availability with maintenance, service calls, and rental activity.
  • Review cost performance at an average-per-vehicle level.
  • Identify unusual changes or areas that may need further investigation.
  • Support operational discussions with a visual summary of fleet performance.
  • Determine which metrics require a more detailed spreadsheet review.

KPIs

The KPIs report provides historical fleet data and key maintenance performance metrics in a spreadsheet. It covers many of the same performance areas as the dashboard but is better suited for sorting, filtering, comparison, export, and offline analysis. The spreadsheet includes fleet count, average fleet age, PM Currency, Sub Days, service calls, and Repairs per Thousand Miles.

Use KPIs when you need to:

  • Review KPI history in a detailed spreadsheet format.
  • Sort and filter performance data for a focused review.
  • Compare fleet count and average age with maintenance activity.
  • Review PM Currency across the available historical periods.
  • Analyze Sub Days and Service Calls alongside maintenance performance.
  • Compare repair activity using Repairs per Thousand Miles.
  • Export or retain a point-in-time data set for additional business analysis.
  • Prepare a working list or summary for operational follow-up.

Common Questions

Are Rental Days and Sub Days the same measure?

The source descriptions use different labels. The dashboard lists Rental Days, while the spreadsheet lists Sub Days. Review them as separate measures unless the report's supporting documentation confirms that they are calculated the same way.

Can I use one KPI to determine the cause of a performance issue?

No single KPI should be treated as a complete explanation. Use related measures and supporting operational detail to validate the cause before taking action.
