This article outlines insurance requirements and options, including the process and consequences when customers provide their coverage as well as the availability and limitations of Ryder-provided insurance.
Customer Provides Insurance
When you provide your own insurance, you must provide a standard Unexpired Accord Form/Certificate of Insurance that shows proof of insurance coverage. The form must be sent to your local account manager, who will then submit it through the Ryder Insurance portal.
You will receive a reminder from someone in our insurance department approximately 30 days prior to the expiration date stated on your certificate of insurance. They will request a copy of the updated certificate with the revised effective dates. A second notice is sent two weeks later, and follow-up notices are sent every 2–3 days until the renewal is received.
If your insurance coverage is not updated after 2 weeks of expiration, you will receive a pre-default letter, which will need to be resolved within 3 days. If it goes unresolved after 3 days, your account will be referred to our Stop Loss department, at which time a default letter will be issued, which must be resolved within 7 days. If the matter is still unresolved after 7 days, they will proceed with the termination of the contract between your company and Ryder. For questions regarding insurance, please contact COI@Ryder.com.
Ryder Insurance Options
When you purchase Ryder physical damage protection, a physical damage fee will be included in the fixed rate. Once Ryder's physical damage protection is added to your lease unit, it will cover your Ryder lease vehicle and any substitute vehicle for repairs or total loss, including GAP coverage due to a collision or a theft.
Note: Ryder does not extend liability coverage to contractual equipment (lease units). When you purchase Ryder liability extension and/or Ryder physical damage protection on your rentals, a separate fee will be charged for these coverages. Does Ryder provide liability coverage for leased vehicles?
No. Ryder does not extend liability coverage to contractual (leased) equipment.

What is a pre-default letter?
A pre-default letter is issued if your insurance remains expired and must be resolved within 3 days. If you don't resolve your pre-default notice, your account will be referred to the Stop Loss department, and a default letter will be issued. You have 7 days to resolve it before further action is taken. If the issue isn’t resolved after the default period, Ryder may terminate the contract.
