This article examines the Rental Activity category under Reports > Rental in RyderGyde. Use this to review current and historical rental activity, monitor open rental agreements, and understand how rental units relate to vehicles that are out of service. This category includes one interactive dashboard for visual analysis and two spreadsheet reports for detailed review and export.


Understanding Rental Reports

Rental reports bring together agreement-level and unit-level information so you can:

  • Review current and historical rental agreements.
  • Compare rental activity by rental type and agreement status.
  • See how long units have been rented.
  • Review mileage and rate information associated with rental agreements.
  • Identify substitute units connected to rental activity.
  • Monitor open rental agreements alongside out-of-service fleet activity.


Rental Activity Dashboard

You can use this dashboard to get a high-level picture of rental activity before reviewing individual records, compare current activity with historical patterns, identify agreements that may need closer review based on status or duration, examine how rental types are distributed across the selected customer scope, and move from a summarized visual to rental agreement details. Use the dashboard first when you are looking for patterns or exceptions. Use the Rental Activity spreadsheet when you need a record-by-record data set.

 

Open Rentals and Out-of-Service Fleet Report

The Open Rentals and Out of Service Fleet report provides a daily view of open rental agreements and the average number of out-of-service units by customer hierarchy. It is designed to help connect rental demand with fleet availability and service-related downtime. Customer hierarchy and related report metadata also identify agreement numbers, rental and lease unit numbers, agreement type, pickup and return dates, days out, customer, location, product line, and ready-for-pickup or extended-duration indicators. An open rental agreement and an out-of-service unit are related operational indicators, but they should be reviewed as separate measures. Confirm the agreement and unit details before drawing conclusions about why a rental remains open.

Use Open Rentals and Out of Service Fleet when you need to monitor open agreements on a daily basis, compare rental activity with out-of-service fleet levels, review results by customer hierarchy, and identify potential operational follow-up areas.


Rental Activity

The Rental Activity report provides current and historical rental agreement data in a detailed spreadsheet. It includes the same core subject areas as the Rental Activity Dashboard but is better suited for sorting, filtering, reconciliation, and offline analysis.

The report includes rental type, agreement status, number of rental days, mileage, rental rates, subunit number, and related rental reporting. It also uses fields such as rental agreement number, unit, pickup date, application or rental type, odometer at pickup, daily rate, mileage rate, weekly or monthly rate, national account number, customer name, and substitute vehicle number. When reviewing duration, mileage, or rates, keep the rental type visible. Different rental purposes can require different operational contexts.

Use Rental Activity when you need to review rental agreements one record at a time, sort or filter agreements by rental type, status, duration, mileage, or rate, compare current agreements with historical rental activity, find a specific rental agreement, rental unit, or substitute unit, or prepare a focused list for reconciliation or follow-up, and retain a point-in-time spreadsheet for additional business analysis.

 


Common Questions

Which report should I use to compare rentals with unavailable fleet units?

Use Open Rentals and Out of Service Fleet. It brings together the daily count of open rental agreements and the average count of out-of-service units by customer hierarchy.

 
 

Why does a substitute unit appear in my report?

A substitute unit can be associated with a rental used while another vehicle is unavailable. For example, Sub for Maintenance is used while a leased vehicle is in the shop for preventive maintenance or other service.
