This article explains how fuel is provided, billed, and managed across ChoiceLease, SelectCare, and Rental vehicles, including first‑tank fuel charges, customer fuel responsibilities, return requirements, Ryder and partner fueling locations, and available fueling options for non‑contractual customer‑owned vehicles.
Ryder Fuel
ChoiceLease
As a Ryder Lease customer, you will receive the lease unit with a full tank when you pick it up. This will automatically be charged as "first tank fuel.”
SelectCare
These units are vehicles/units owned by the customer and maintained by Ryder. Therefore, all fuel charges are the responsibility of the customer.
Rental
As a Ryder customer, the rental unit will have a full tank of fuel upon pickup at no charge. This applies to Sub for Maintenance rentals, Lease Extras, and Accident Extras. All Ryder rental customers have the option to fuel outside of Ryder prior to returning this rental unit. These transactions would be the customer’s responsibility. If a rental customer chooses to fuel at Ryder locations during the rental timeframe and return the unit with less than a full tank, Ryder will bill these charges according to your invoicing cycle. Rental units should be returned with a full tank. This pertains to both diesel and DEF, any type of fuel product including unleaded, CNG, etc., where applicable based on the vehicle type. Upon request, the fuel attendant and the rental counter can provide a copy of the handheld fuel receipt, which would reflect the quantity that the vehicle took to refill.
Fuel Locations
As this applies to Fuel pumped from a Ryder location, please be aware that Ryder has multiple locations that do not have an on-site fuel island. In these cases, Ryder partners with local truck stations, and they allow our Ryder customers to use their facility. These truck stations will bill Ryder for those transactions, and in turn, Ryder passes the charge to the Ryder customer. On your Ryder fuel invoice, you will see whether the fuel transaction was from the Ryder location or an off-site location (outside fuel) with the location information. [“R” for Ryder fuel island (City, State)] [“O” for Outside fuel (Truck Stop Company Name, not City, State)]. Sales and Service
As a Ryder customer, you will have the ability to fuel a Non-Contractual Company owned vehicle. Pricing and rebates are available for Non-Contractual units that choose to fuel with Ryder. These transactions would invoice independently from all other vehicle types (ChoiceLease, SelectCare, etc.) unless requested otherwise.
Contact your account manager to set up your customer-owned unit on the Non-Ryder Vehicle (NRV) table. You will need to provide the following information:
- VIN #
- Make/Model/Year
- Unit # (must be 5 digits, all numeric, no alpha characters)

Common Questions
What if a Ryder location does not have a fuel island?
Ryder partners with nearby truck stops to provide fueling services, and those charges are billed to Ryder and passed on to you.
How do I know where the fuel transaction occurred?
Fuel invoices will indicate the location type. For example, “R” means Ryder fuel island (city/state listed), and “O” means Outside fuel (truck stop provider listed).
Can I fuel non-contractual (customer-owned) vehicles with Ryder?
Yes. Ryder allows fueling for non-contractual vehicles and may offer pricing and rebates.
